1HMO is a UK property development and investment company converting standard houses into high quality licensed HMOs for professional tenants in the South of England (see [login to view URL] for context). We use an external telesales provider who will add “positive leads” (name, email, phone) into a shared Google Sheet. We want [login to view URL] set up as our central hub for investor communications over WhatsApp Business and email, with Calendly + Microsoft 365/Teams used for booking online meetings. Core requirements - Integrate [login to view URL] with: WhatsApp Business, our “Positive Leads” Google Sheet, and Microsoft 365/Outlook/Teams via Calendly. Design a simple, future proof data structure (fields, tags, stages) that can later map cleanly into Salesforce. - Implement key workflows: 1. New lead in Google Sheet → create/update contact in [login to view URL] → send first WhatsApp message thanking them and inviting them to book a Teams/Zoom call with our Head of Sales (Calendly link to Simon Hill’s Microsoft 365 calendar). 2. FCA disclaimer step: before booking, show our FCA disclaimer text and record explicit acceptance (with timestamp) against the contact. 3. Automatic reminders on the morning of the meeting to both the investor (WhatsApp/email) and Simon (internal reminder). 4. Simple post meeting update flow (set stage, notes, next step) and logging/notifications for in person office visits in Portsmouth. - Ongoing comms: Set up a basic tagging/segmenting model so we can send weekly, individualised updates to signed up investors, and keep active prospects warm with one to one follow ups while they also see general updates via our website and Instagram.
