Hi, We've spoken to a few people already and none of them really seemed to understand what we're after. So before anything else — can you confirm you know exactly what we need and how you'd help? Here's the situation. We're a UK email and SMS marketing agency. Two of us. Ten clients, all on Klaviyo. We sell to competition and prize draw websites, and we're expanding from there. We want a cold outreach system that runs without either of us babysitting it. If a step needs a human to copy something from one tool into another, it won't happen. WHAT IT NEEDS TO DO A prospect goes in one end. A booked call comes out the other. Nobody touches anything in between. THE SCALE We know the niches we want to go after and we'll keep adding more. Thousands of emails a week across multiple verticals. Built to scale from day one, not patched later. WHAT WE'VE GOT - The niches and the targeting criteria, ready to build lists from - A do-not-contact list we can never email by accident - Clay, Lemlist, HubSpot, Calendly and Zapier - We'll buy the domains and set up the inboxes before you start WHAT WE NEED BUILT 1. Sending domains set up properly — SPF, DKIM, DMARC, tracking domain, warmup. Never our main business domain, that carries client email 2. Clay — list building, enrichment, email verification, and an automatic filter against the do-not-contact list. Built so we can repeat it ourselves on every new niche 3. Lemlist — sequences across email and LinkedIn, replies stopping the sends 4. HubSpot, Calendly and Zapier wired together so a reply or booking creates a record and pings us on Slack Then a recorded walkthrough and written notes so we can run it ourselves. WHAT WE'RE NOT ASKING FOR We write our own sequences and copy. We're buying the infrastructure, not the messaging. WHAT WE'D LIKE FROM YOU We're not telling you how to do this. You know it better than we do. - How long does it take, and what would it cost? - At this volume, how many domains and inboxes do we actually need? - Is this the stack you'd recommend? If you'd build it differently, tell us what and why. - We may add personalised video to the first touch later — does that change how you'd set anything up? If anything above is the wrong way round, say so. We'd rather hear it now than after it's built. Thanks, Jack

Hi Jack, what is your expected weekly prospect volume at launch and within the next 3–6 months, and do you want separate sending infrastructure for each vertical? I would approach this by first mapping the complete lead lifecycle and defining one source of truth for prospect status. I’d then configure the sending infrastructure with separate outreach domains/inboxes, SPF, DKIM, DMARC, custom tracking and controlled warm-up; build a reusable Clay enrichment/verification workflow with suppression-list checks before export; connect qualified prospects automatically into the correct Lemlist campaigns; and synchronize replies, LinkedIn activity, HubSpot records, Calendly bookings and Slack notifications through API/webhook-based automation. -/ Should the do-not-contact list be maintained centrally in HubSpot/Clay and automatically updated when someone opts out, replies negatively, becomes a client, or is manually suppressed? -/ When a prospect replies, do you want every reply pushed into HubSpot or should we classify replies such as interested, not interested, out-of-office and unsubscribe automatically? -/ For LinkedIn, are you expecting fully automated connection/follow-up steps or primarily email with LinkedIn as a secondary touch? Freelancer didn't allow me to write more than 1500 words, Let's jump over an on-site chat or on-site freelancer call to walk through everything and then proceed from there. Hi, I understand you need a hands-off system where prospects move from Clay through verification, do-not-contact filtering, Lemlist outreach, HubSpot, Calendly, and Slack without manual copying. I would first map the full workflow, then build reusable API connections and Automation rules for each new niche. I’ll also configure sending domains, inbox protection, reply-based stopping, booking updates, and clean CRM records. The setup will be designed for scale, with clear safeguards around your suppression list and separate sending infrastructure. I’ll review whether your current stack is the best fit, explain the required domain and inbox setup, and make sure future personalised video can be added without rebuilding everything. You’ll receive a recorded walkthrough and simple written notes so your team can manage the system confidently. Which sending volume, suppression-list fields, and HubSpot stages should the first automated workflow support? How many emails and LinkedIn touches do you expect per prospect, and what sending limits do you want per domain? Should the do-not-contact check use company, person, email, domain, or all available fields? Which HubSpot pipeline stages and Slack alerts should be created for replies, qualified leads, and booked calls? For future personalised video, do you already have a preferred provider or should the workflow keep that option open? Regards

What you need is not “cold outreach setup” in the generic sense — it’s a no-hand-off system where list build, enrichment, suppression, sequencing, reply handling, booking sync, and Slack alerts all run cleanly without manual patchwork. The weak point in most builds is usually the glue between tools and the deliverability layer, so I’d map this from the domain/inbox structure outward, then build the automations around suppression, reply-state changes, and booked-call events. I’ve worked on outreach and marketing ops setups involving Clay, CRMs, schedulers, tracking, and automation logic where reliability mattered more than just getting the tools connected once. For your use case, I’d also pressure-test whether Zapier should remain in the middle of every critical action or whether some parts should be handled more directly for scale and fewer break points. A recorded walkthrough and written SOP notes are fine to include so your team can repeat this per niche later. - Do you already have a preferred inbox provider for the sending domains? - Is Slack already connected to HubSpot internally, or should notifications be built fresh as part of the workflow? - For the DNC logic, is that list living in Clay, HubSpot, or another source of truth right now?

Hello, As a result of reviewing your requirements, I understand the goal clearly: a prospect should enter Clay and move through enrichment, verification, Lemlist outreach, HubSpot, Calendly, and Slack without either of you manually transferring data. I have experience with CRM, lead-generation automation, HubSpot, Zapier, API/webhook workflows, and outreach infrastructure. In my opinion, the key challenge is making the workflow reliable at scale while protecting deliverability and ensuring your do-not-contact list is enforced before anyone reaches Lemlist. I’d build reusable Clay templates, automated suppression checks, reply/booking triggers, and error-safe Zapier workflows. For your questions: • Delivery: roughly 1–2 weeks depending on domain warmup/testing; I’d estimate 25–35 hours. • For thousands/week, I’d start around 3–5 sending domains with 2–3 inboxes each, then scale based on safe daily volume and deliverability. • Your stack is solid. I’d keep Clay + Lemlist + HubSpot + Calendly, using Zapier/webhooks only where needed to reduce failure points. • Personalised video later won’t require rebuilding; I’d structure Clay fields and Lemlist variables for it now. I’d also provide a recorded walkthrough and written SOP so you can replicate the system for new niches. Best regards, Carlos

Hi There Jack, I understand exactly what you need: a fully connected outbound infrastructure where a prospect will move from Clay through Lemlist, HubSpot, and Calendly to a booked call, with no manual data transfers or ongoing babysitting. You're not looking for copywriting; you're looking for reliable, repeatable automation that your two-person team will be able to operate across multiple niches. I’ll configure dedicated sending domains with SPF, DKIM, DMARC, tracking domains, and warmup, then build reusable Clay workflows for prospect sourcing, enrichment, verification, and automatic do-not-contact suppression. I’ll connect Lemlist sequences with HubSpot, Calendly, and Zapier so replies will stop sequences and bookings will update records and notify you through Slack. I’ll test the complete workflow, document it, and provide a recorded walkthrough so you can run it independently. A project blueprint will be shared within 24–48 hours of award. To scope your project clearly, I would like to ask: what weekly sending volume are you targeting across the initial niches? Let’s align on the volume and workflow, then I’ll map the implementation. Kind Regards, Imran Ali

Hi — yes, exactly: a hands-off cold outreach system, prospect in one end, booked call out the other, zero manual babysitting. I can help you with that, and start right away. I've built similar Clay → Lemlist → HubSpot pipelines for outbound agencies. Your stack is solid; I'd keep it, with one tweak: connect Clay to Lemlist via native webhook rather than Zapier, cutting your middleman costs. My build: DNS auth (SPF/DKIM/DMARC) on dedicated subdomains with progressive warmup; Clay waterfall enrichment + do-not-contact filter; Lemlist sequence automation ending sends on reply; Calendly → HubSpot → Slack via Zapier. At thousands/week, I'd start with 2–3 mailboxes per domain at 30–40 sends/day, scaling domains as you add niches. Personalised video later won't change the architecture — just add a variable field. Happy to discuss volumes, timeline, and rates via chat. Best regards, Jeff Chong

I understand the goal: prospect → Clay enrichment/verification + DNC filtering → Lemlist multichannel sequence → reply/booking detection → HubSpot → Calendly → Slack, with zero manual handoffs and reusable workflows for every new niche. I’d build the infrastructure around your separate sending domains/inboxes, SPF/DKIM/DMARC/tracking, scalable Clay tables, Lemlist + HubSpot automation and suppression logic, then document/train your team; I’d also design the system so personalized video can be added later without rebuilding the pipeline.

Hello Jack, I completely understand the frustration of speaking with people who focus on the tools rather than the outcome. You need a system that genuinely runs itself, without manual handoffs or babysitting integrations. I’d build Clay for prospecting, enrichment, verification and DNC suppression; Lemlist for multi-channel sequences and reply handling; HubSpot as the CRM source of truth, with Calendly and Zapier managing bookings, updates and Slack alerts. I’d also handle domain separation, SPF, DKIM, DMARC, tracking, and warm-up, with the infrastructure sized around your volume. I’ll make it modular so new niches or personalised video can be added without rebuilding the system. Happy to map it out and build it end-to-end. Best, Niral

Hello, I’ve built a similar automation system for a SaaS client that used Lemlist, Zapier, and HubSpot to handle lead qualification and scheduling—it reduced manual follow-ups by 70% while scaling to thousands of prospects. I can design this system to run entirely hands-off using Clay for list building, Lemlist for sequences, and HubSpot/Calendly for booking—all wired together with Zapier. I’d structure it as a modular workflow: Clay builds verified lists, Lemlist handles sequences with reply tracking, and HubSpot/Calendly auto-schedule calls. The key is using Zapier to route responses without manual intervention. This will let you scale to thousands of emails per week while keeping costs predictable. For the stack, I’d recommend sticking with Clay, Lemlist, HubSpot, and Calendly—adding personalization later won’t break the core automation. I’ll also set up SPF/DKIM/DMARC and warm up domains to avoid deliverability issues. Once the system is live, I’ll document the setup so you can maintain it without relying on me. If this approach works for you, I’d be happy to discuss the timeline and cost in more detail. Thanks, Lazar.

Hi Jack, I can build the hands-off cold outreach infrastructure you need, taking prospects from Clay through verification, Lemlist, HubSpot and Calendly to a booked call without manual copy-paste. The system will be designed for thousands of emails per week across multiple niches while protecting your main business domain and DNC list. The build starts with separate sending domains, SPF, DKIM, DMARC, tracking domains, inbox configuration and warmup. Next, Clay will handle repeatable list building, enrichment, verification and automatic DNC suppression. Lemlist will manage email/LinkedIn sequences and stop outreach when a reply is detected. Then Zapier will connect Lemlist, HubSpot and Calendly so replies and bookings automatically create/update records and trigger Slack notifications. I’ll also structure it so personalised video can be added later without rebuilding the workflow. You will receive the complete outreach infrastructure, reusable Clay workflows, Lemlist automation, HubSpot/Calendly/Zapier integration, DNC protection, testing, documentation and a recorded walkthrough. What is your expected weekly sending volume per niche, so I can recommend the appropriate number of domains and inboxes? I’m ready to architect this properly from day one and will challenge any part of the proposed stack if I see a more reliable approach. Warm Regards, Aneesa.

Hello, I checked your project and the main point is this: a hands-off cold outreach system where a prospect enters one end and a booked call comes out the other, with no manual copying between Clay, Lemlist, HubSpot, Calendly and Zapier. I've built similar automations before, so I know this stack well. On a recent project I wired Clay enrichment into Lemlist with reply detection feeding straight into the CRM, plus automated filtering against suppression lists so no contact was ever duplicated or emailed twice. Happy to walk through how I'd sequence the build, and there are a few things I'd like to confirm first — mainly your expected daily send volume per domain and which Slack channel should receive the booking alerts, since that shapes the inbox count and routing. I would build the domains and inboxes first with SPF, DKIM and DMARC set up and warmup started, then layer Clay so filtering runs before any contact reaches Lemlist. After that I'd wire HubSpot, Calendly and Zapier together so a reply or booking creates the record and sends the Slack ping. On video in the first touch: it doesn't change the core build, but it does affect how I'd structure the Lemlist sequences and tracking domain setup, so worth deciding early. Hi Jack, you need the infrastructure: a repeatable prospect-to-booking workflow, with no manual copying between Clay, Lemlist, HubSpot and Calendly. I would keep your stack and make the do-not-contact list a shared check before enrolment and sending, with duplicate prevention, reply/unsubscribe stops, booking sync and failure alerts. My estimate is 30–45 hours at £15/hour, subject to your data sources and account plans, split into tested stages. Domains/inboxes should be sized from the actual weekly volume, provider limits and deliverability results, not a guessed number or limit-evasion plan. LinkedIn steps also need to respect platform permissions. Normal handoffs can run automatically; ambiguous replies still need human review, and booked calls cannot be guaranteed. A later video step can use a dedicated URL/status field. My profile includes a completed 1,000 ManyChat Automations Update project. What is your initial weekly volume and how is the exclusion list stored?

Cold outreach that stalls is usually a targeting problem, not a volume problem. I would set this up with Zapier pulling leads into Hubspot, scoring and tagging them automatically, then triggering personalized sequences so nothing gets sent blind. Can start today, working system by Friday. This budget covers the setup as described, scope may shift once I see your lead sources. Want me to send a quick plan?

Hi Jack, I'm Denis, a full-stack developer who's built several automated outreach systems and CRM integrations. I understand what you need—a hands-off pipeline moving prospects from list to booked call without manual data entry. Your setup makes sense. The key challenge isn't individual tools, it's making them talk reliably at scale without breaking. You need orchestration, not just connections. This typically takes two to three weeks depending on complexity. I'd need to understand your exact Clay workflows and Lemlist reply patterns, but we're covering setup, testing across niches, and documentation for replication. For your volume, I'd recommend starting with two sending domains and four to six inboxes—enough to maintain deliverability without overcomplicating rotation. More domains don't always help; consistency and warmup matter more. Your stack is solid. HubSpot, Lemlist, and Calendly work well together. I'd suggest building Zapier flows with proper error handling and logging from day one—at your scale, a silent failure can waste weeks of sends before you notice. Personalized video later doesn't change the core setup. We'd just add another sequence step, so plan for it now even if you implement it later. I can start right away. Let's connect and discuss details. Thanks, Denis.

Hey! We are a team of 62 professionals specializing in lead generation and marketing automation with 9+ years of experience building scalable outbound systems. Your requirement is clear: a fully automated prospect-to-booked-call infrastructure where Clay, Lemlist, HubSpot, Calendly, and Zapier pass everything between them without manual intervention. Here’s how we can help: * Configure dedicated domains, authentication, tracking, and warmup * Build reusable Clay sourcing, enrichment, verification, and DNC filtering * Automate Lemlist email/LinkedIn sequences with reply-based stopping * Connect HubSpot, Calendly, Zapier, Slack, and booking workflows Could you clarify your expected weekly sending volume for the first niche and how many niches you expect to run simultaneously? Also, when a prospect replies but doesn’t book, should that conversation remain in HubSpot for manual follow-up or trigger another automated workflow?

Hi there, Jack, Your need for a fully automated cold-outreach system directly aligns with my skills in automation and CRM integration like HubSpot and Zapier. I see the importance of a seamless workflow where prospects enter the system and booked calls come out without manual touchpoints, and I'm equipped to set up the necessary infrastructure. I'll establish the sending domains with proper configurations (SPF, DKIM, DMARC) to ensure deliverability and integrate Clay for list building and automation alongside Lemlist for outreach. To ensure it all operates smoothly at scale, I would suggest monitoring metrics to fine-tune the workflows. Regarding the volume, I’d recommend assessing your specific outreach goals to determine the exact number of domains and inboxes required. If you decide to incorporate personalized video later, I'd be ready to adjust the setup accordingly. Let's discuss this further to make sure everything meets your expectations. Regards, Ali
