Operations Manager — Agency Momentum & Accountability (Full-Time, 8 Hours/Day, Mon-Fri) We're a performance-focused growth marketing agency running paid traffic and structured marketing systems for values-led businesses. The volume of client work has outgrown our informal systems. We have a capable team, a working process, and a tracker. What's missing is one person who creates momentum across all of it - so nothing stalls, nothing misses a deadline, and the founder can step out of day-to-day operations and back into sales, where the business actually grows. That's this role. The single measure of your success: the founder stops having to assign tasks, check quality, and chase follow-ups - because you're doing it. >Your Role In One Sentence You create urgency. You make sure everything is moving, deadlines are met, gaps are filled, and the founder is confident things will get completed without him having to check. >The Problem You're Solving The founder built this business and runs sales - that's where his time should go. Right now too much of it goes to assigning tasks, checking whether they were done right, and following up when things slip. The team is made of self-starters and the team lead communicates and assigns work well. What's missing is the accountability and momentum layer that currently falls on the founder. You own that layer. You are not here to build Gantt charts and hand off an SOP. We have a system. Your instinct when something isn't done should be to go make it done - not to build a chart about it. >What You'll Actually Do - Hold the whole picture. Know, every few hours, where every deliverable stands - what's moving, what's stuck, what's at risk. You don't need formal hourly check-ins, but you always know the state of play. - Create urgency. Drive every deliverable toward one of two finish lines: published, or sent to the client for approval (we aim to send approval requests 2–3 days before the due date so clients have time to respond and we publish on time). - Step in when things stall. Re-prioritize with the team lead, unblock a teammate, or fill the gap yourself. Don't wait for end of day. - Chase politely but relentlessly. If someone doesn't respond to an urgent item within ~20–30 minutes, you escalate - message, then call. You never assume they saw it. - Keep the founder confident with 4 brief updates a day. Short: what's on track, what's at risk and what you're doing about it, and any decisions only he can make (batched together, not one at a time). You don't wait to be asked. - Be the buffer. When a client or the founder is frustrated, you absorb it and return calm, warm, professional replies. You turn raw reactions into momentum. - Manage shifting priorities without friction. Priorities change often, driven by campaign results. When they shift, you move fast, give people the why, and keep things calm. - Solve internally first. Exhaust documentation, profiles, and teammates before interrupting the founder. When you do need him, it's one clear message: the ask, the why, and the timeline impact - then you keep moving. - Protect quality before things reach clients. Make sure deliverables are checked against each client's profile and routed for the right approval before they go out. >How You Work With The Team You're not replacing the team lead, who assigns and communicates work. You add the layer above it: watching deadlines, momentum, and gaps, and making sure nothing falls through. You're not checking up on anyone - you're watching the overall picture and keeping it moving. >Schedule Full-time, 40 hours per week (8 hours a day with breaks), Monday - Friday. You'll be reachable and responsive across the day (roughly 7am-7pm in our timezone), dipping in and out to check status, send messages, and create urgency. Much of this work is messaging, tracking, and pushing - by design. This is not heads-down deep-work; it's keeping a fast-moving operation on schedule. >Who You Are The personality matters more than the résumé. The right person is: - A driver, not just an organizer. You own outcomes, not tasks. You close loops without being asked and you can't stand a loose end. - Warm under pressure. Gentle in tone and relentless in follow-through at the same time. You make stressed people feel handled. - Comfortable creating friction politely. You can interrupt, escalate, and push back on a bad idea without being abrasive. - Low-ego and service-oriented. You're here to make the team and the founder look good - not to run your own show or collect credit. - Calm with ambiguity. Priorities shift constantly and we deliberately don't over-formalize everything. You thrive on judgment, not rigid process. - A clear, fast communicator. Brief, warm, and professional in writing; quick to pick up the phone when a message chain is too slow. You'll struggle here if you're conflict-avoidant, need a perfectly stable process to function, get rattled by interruptions and changing priorities, or want recognition and authority. This is a support-and-amplify role - its power is in keeping everyone else moving. >How To Apply Send us: 1.
