Project Description and Requirements Purpose: To create an effective web platform for managing companies. This platform will enable personnel, managers, supervisors, and other authorized staff to perform their tasks and facilitate company management. Additionally, customer data for all companies will be stored in a single database, but each company will only be able to see its own customers. Companies will also be able to add different business fields to the system in the future. Modules and Functions Admin Operations: Admin Control: Admins can add, edit, delete, and activate/deactivate companies, as well as manage subscriptions. Admins can see every detail of a company as if viewing from the company's own page and can send messages (like SMS) to companies (API integration will be provided). Company Operations: Company Management: Added companies can manage assets such as vehicles, trailers, personnel, supervisors, warehouses, silos, and branches. Vehicle Management: If a vehicle is a truck, it can be paired with a trailer. Both the truck and the trailer can be assigned to a staff member, and all vehicle information can be entered into the system. Personnel Management: Detailed personnel information can be entered for each company. Silo Management: Companies can monitor the silos in their branches. For example, the cement silo in Branch A may contain 105 tons. Supervisor Management: Supervisors can manage branches, create daily or scheduled tasks, and assign work orders (such as tracking cement sales and the amount of material used from silos). Branch Management: Branches can add their own personnel and vehicles, as well as manage their own work orders. Company Manager: The company manager can oversee branches and personnel, view favorite personnel and their work, and monitor key metrics. Company Information: The company can manage start/end work times, meal breaks, hourly wages, monthly salaries (varied for each employee), special day wages, and weekend overtime (companies can choose Saturday, Sunday, or both). Personnel and Supervisor Operations: Personnel Task Assignment: Personnel can view and update their daily tasks in the system. The task status can be changed to "In Transit (Empty)", "Loading", "In Transit (Loaded)", "Unloading". If a delay occurs (traffic, break, meal), personnel can log the reason for the delay, and daily working hours will be recalculated accordingly. After each task, the system asks if the task is complete, and if completed late, overtime will be calculated. Job Completion Verification: After task completion, personnel must confirm the task's completion, and if completed after the end time, the system will calculate the overtime hours. General Modules: Login and Registration: Personnel, managers, supervisors, and general managers will log in from the same page and be directed to their respective dashboards. Personnel will have a different interface compared to managers. Time and Salary Tracking: Monthly time tracking and salary calculations are available, including overtime and special day wage adjustments. Reporting and Performance Evaluation: Monthly work reports, performance evaluations, and material usage reports can be securely sent to managers. Material and Silo Management: Supervisors can monitor and request materials for silos, track silo fill levels, and approve material deliveries. Daily Task Management: Managers and supervisors can assign daily tasks to personnel and track task completion in the system. Subscription Management: Companies are subscribed to the system on a monthly or yearly basis. Admins manage these subscriptions. General Manager Operations: Full Authority and Control: The general manager has full authority over all companies and personnel. They can view reports and analyze company and personnel performance. Reporting and Analysis: The general manager can generate monthly and yearly reports and performance evaluations. Subscription Management: The general manager can manage the subscriptions (monthly or yearly) of companies in the system. Company and Customer Management: The general manager can add, edit, or delete companies. Each company can only access its own customer data. Branch Supervisor Operations: Material Requests and Approval: Supervisors can request and approve materials for branches. Silo fill levels are tracked in real-time. Expense Management: Supervisors can log expenses for sold products, specifying the customer, material type (cement, etc.), and from which silo the material was taken. Additional Features: Notification System: Notifications will be sent when silo levels are low, when tasks are assigned, or when deadlines are approaching. Automated Task Assignment: Daily tasks will be automatically assigned to personnel based on predefined criteria, with manager approval. Expense Tracking Module: A dedicated module will allow companies to track expenses, categorize costs, and generate expense reports. Integration with Third-Party Systems: API integrations for SMS, email notifications, and financial software to automate tasks like payroll processing and invoicing. Audit Log and Version Control: All actions (such as task assignments, material deliveries, and changes to personnel information) will be logged in an audit trail for security and compliance. A version control system will track changes to company information. Mobile Compatibility: The system will be fully responsive, allowing access from mobile devices, with optimized dashboards for easy navigation. Conclusion: This platform is a comprehensive company management system, providing customized interfaces and features for all levels of staff, including admins, managers, supervisors, and personnel. It simplifies daily operations, task assignments, material management, and personnel tracking, while also offering extensive reporting, notification, and subscription management features.
