We are an established Australian field-service business with approximately 800 recurring service clients and a substantial mobile technician team. We already have a highly developed ServiceM8 environment and documented internal processes. This is NOT a software development, automation, consulting or general VA role. We are looking for someone with genuine hands-on experience working inside ServiceM8 on a day-to-day basis, ideally for an Australian trade or field-service business. The objective is to progressively move repetitive administration away from our Australian office. Initial responsibilities may include: Reviewing completed technician jobs before invoicing Checking job information, labour/time, materials, notes and completion status Preparing and issuing invoices according to documented rules Debtor/debt-recovery follow-up under established procedures Preparing straightforward quotes using existing rules and pricing Quote follow-up Recurring-job administration Routine customer/email administration Purchase orders and ordering administration General repetitive ServiceM8 administration Bookkeeping is NOT part of this role. Our existing bookkeeper will continue to manage bookkeeping. We are also not looking for someone to redesign our ServiceM8 system. We have a separate ServiceM8 specialist assisting with optimisation and automation. What we need is an experienced operator who can learn our business rules quickly rather than needing to learn ServiceM8 from scratch. We intend to start with a small paid trial as soon as possible. If successful, there is potential for substantial ongoing work. IMPORTANT — please answer these questions in your application: Describe your actual hands-on experience working inside ServiceM8. Talk us through how you personally reviewed a completed technician job before invoicing it. What did you check? What other ServiceM8 functions have you personally handled — quoting, debtors, recurring jobs, scheduling, POs, customer emails, etc.? The job review stage therefore needs to be treated as a control point: checking labour and time, materials, notes, completion status and anything your invoicing rules require before the invoice is issued. I would also keep the workflow aligned with your documented processes rather than introducing my own system. That matters here because you already have a separate ServiceM8 specialist handling optimisation and automation, while this role is about reliable day to day execution and progressively removing repetitive work from the Australian office. In 2024 I worked directly with the locksmith manager to set up ServiceM8 workflows and then used it regularly alongside the manager and technicians.
