Adelaide Pool Patrol is looking for an exceptional automation developer to implement a production-ready ServiceM8 automation system. This is not a discovery or consulting project. Our business workflows, operating rules and desired outcomes are already substantially mapped with AI Copilot. We will provide detailed business logic and work directly with the successful developer to resolve questions quickly. We need someone who is particularly strong in: - n8n production automation - REST APIs and webhooks - ServiceM8 or comparable field-service/job-management platforms - Xero/payment-status integrations - Workflow state management - Error handling, retries and exception management - Clean, documented and maintainable automation - Intelligent use of AI to accelerate development Initial production workflow The first implementation centres around: Proposal Accepted → Deposit/Payment → Equipment In Stock or Ordered → Equipment Ready → Full Payment → Ready for Installation → Scheduling → Customer Notification → Picking/Installation A critical APP business rule is: Equipment must never be released or installed until full payment has been confirmed. The workflow must accommodate equipment already in stock as well as equipment that needs to be ordered. Budget and expectations Budget: up to A$1,500 fixed price. This budget is for a working, tested production implementation, not merely a proof of concept, discovery report, architecture document or estimate for further development. Before accepting the project, the successful developer must review the supplied specification and confirm what they will deliver for the agreed fixed price. We understand genuine unforeseen technical limitations can occur. However, we do not want a project that begins at an attractive price and subsequently becomes a series of requests for additional hours because the scope was underestimated. If something is unclear before commencement, ask before accepting the milestone. Ownership and handover APP will own and control: - n8n environment - ServiceM8/API credentials - workflows and APP-specific automation logic - documentation - custom code developed specifically for APP The solution should be structured sensibly so APP's underlying business logic is not unnecessarily locked into ServiceM8. We expect our technology platform to evolve in the future. Acceptance criteria Payment will be milestone-based and tied to working deliverables, not hours spent. The final milestone will only be released when the agreed workflow has been: Built → Tested → Demonstrated working → Documented → Handed over to APP Normal debugging and correction of the agreed functionality is part of the fixed-price implementation. Who we want We are looking for one outstanding developer, not the cheapest developer. There is significant additional automation work available for the right person after this initial project. When applying, please answer these three questions: 1. What is the most sophisticated n8n/API production automation you have personally built? What systems did it connect and what was your role? 2. How did you handle failures, duplicate events, retries and situations where an external API was unavailable? 3. Based on the workflow above, identify the three biggest technical risks or unknowns you would verify before accepting the fixed-price project. Please do not send a generic agency proposal. We are interested in the person who will actually design and build the automation.

Your payment-gated ServiceM8 workflow is exactly the kind of production state machine that must be built defensively: no equipment can move to Picking/Installation unless full payment is independently confirmed, whether stock was already available or had to be ordered. My most sophisticated comparable automation was an AI outreach system I built end-to-end: Google Maps discovery, contact extraction, Gemini personalisation, paced SMTP delivery, mailbox rotation and unsubscribe handling. I also diagnosed a live trading platform’s frozen charts caused by an unthrottled external API, adding caching, credit limits and a last-known-good fallback. For APP, I would implement n8n as the orchestration layer, with ServiceM8/Xero webhook and polling triggers where appropriate, a durable job state record, idempotency keys to ignore duplicate events, structured retry/backoff rules, and an exception queue with clear notifications. API failures will never advance operational status; each transition will be logged and safely replayable. I will document credentials, workflow states, mapping rules and handover steps. Before acceptance, my three checks are ServiceM8 API/webhook coverage for required status changes, the exact Xero payment event and timing used as the full-payment authority, and how stock/order readiness is represented today. Hello!, I am a Florida-based senior software engineer, and this is exactly the kind of automation project I like working on. Adelaide Pool Patrol’s pain point is clear: you need a production-ready ServiceM8 + n8n/API workflow that is reliable, maintainable, and won’t break once it’s live. I’d approach it in phases: first map the exact ServiceM8 events, data fields, and edge cases, then build the n8n workflow with clean API handling, error logging, retries, and test records, and finally harden it for production with monitoring and handover docs so your team can trust it day to day. I’m very detail-focused, so I’ll make sure the automation matches the real business process, not just the happy path. That usually saves a lot of time later. Relevant work I’ve delivered includes: - Field service dispatch automation for a plumbing company - CRM sync and lead routing workflow for a local logistics business - Invoice and job-status automation for a maintenance services team - API-based task orchestration for a small SaaS platform A couple of quick questions: 1. Which exact ServiceM8 triggers and actions should the production build support first? 2. Do you already have the API credentials, webhook setup, and sample payloads ready? 3. What would “success” look like for this build, fewer manual steps, faster job updates, or full end-to-end sync? If you want someone who will actually think through the workflow before building it, I’m your guy. -James

Hi Adelaide, I can see the hidden risk here: this isn’t just automation, it’s protecting cashflow and release control across ServiceM8, n8n, and Xero. I’ve built production API workflows with webhook handling, state management, retries, idempotency checks, and clean handover docs, and I’d approach your workflow so the “full payment confirmed” rule is enforced before any install or release step can proceed. I’ve shared an initial estimate based on your description, and once we go over a few technical or functional details, I’ll confirm the exact cost and delivery schedule. I’ll review your spec, map the workflow states, and build the automation in a maintainable way that keeps your business logic portable beyond ServiceM8. Which part is most likely to change first: payment verification, inventory status, or scheduling triggers? Best regards, Asad

Hi, Mateo here, from Toronto. I'll be upfront: ServiceM8 specifically isn't in my direct history, so if that's the deciding factor, this may not be the right fit. My most sophisticated automation connected a booking system, payment provider, and notification service via webhook-driven state transitions, similar shape to yours, each stage triggered by a verified external event, not polling. I designed and built it fully, including retry/idempotency. Duplicates were handled via idempotent handlers keyed on unique event IDs, with a dead-letter queue for failures after retries. Unavailable APIs used exponential backoff, capped retries, then flagged manual review. Three risks I'd verify first: whether ServiceM8 exposes payment status via webhook or requires polling, how in-stock vs. ordered equipment paths branch and remerge, and the exact mechanism gating "full payment confirmed", it needs to be a hard, auditable check. Given the honest gap, open to a short scoping session before committing to the fixed price?

Hi, I'm Denis, a full-stack developer who has built and maintained production-grade automation workflows using n8n, REST APIs, and webhooks. Your workflow makes sense and the critical payment-before-release rule is straightforward to enforce through state management. I'll model the flow in n8n with clear status transitions, handle edge cases like partial payments or duplicate events, and integrate ServiceM8, Xero, and any relevant platforms through their APIs. I've designed similar systems where multiple services had to stay synchronized while processing payments and scheduling jobs. For this project, I would start by reviewing your specification, planning the state machine and API calls, then implementing the workflow in small stages with automated tests. Once the core logic is stable, I'll add error handling, retries, and logging so the system remains reliable even if external APIs are slow or unavailable. The main technical risks are unclear API rate limits and the possibility that ServiceM8's webhooks may not cover all state changes you need. I'll verify these details before committing to the fixed price. I can start working right away. Let's connect and discuss the details. Thanks, Denis.

Good Day! I have carefully analyzed your project and can personally build the production n8n automation across ServiceM8, Xero/payment status, REST APIs and webhooks, with strict full-payment gating, inventory states, idempotency, retries, exception handling, testing, documentation and handover. My key pre-acceptance checks would be ServiceM8/Xero event and API limitations, reliable payment/inventory state synchronization, and duplicate/failure recovery; I’m happy to review your specification and confirm the A$1,500 fixed scope before starting. I am eager to contribute my expertise and deliver top-notch results for your project. Let's discuss the project further in chat or let's have a quick call! Best regards, M Adeel.

Hi, On a backend integration contract I built REST API connections between systems with third party services, including a LAMP app wired to Twilio and external APIs, all delivered on a milestone basis. That is close to what you need here: state driven workflow, webhooks, and clean handover. One client left "Adil worked very well with our team" on that backend API work. On your payment gate rule, the safest approach is to treat "full payment confirmed" as a single source of truth from Xero, verified on each state transition, so equipment release can never fire on a stale or duplicate webhook. Idempotency keys and retry with backoff handle API downtime, dead letter queues catch what still fails. Quick question: is your n8n self hosted or cloud, and does Xero payment status arrive by webhook or polling? Adil

Your workflow already being mapped is helpful, but the fixed-price success of this project will come down to validating the unknowns before build starts, especially payment confirmation rules, stock vs ordered equipment paths, and how ServiceM8 events behave under retries or duplicate triggers. I’d review the supplied spec against those control points first, then build the workflow with explicit state guards so jobs cannot slip into install-ready status prematurely. Most automation problems at this level are not about connecting APIs once; they come from real production conditions like webhook duplication, delayed status updates, partial failures, and external API downtime. That’s the type of work I handle: n8n automations with proper branching, retry strategy, exception queues, and maintainable documentation so the system is usable after handover rather than becoming a black box. I can also include a clean handover structure so later workflows can reuse the same logic patterns. - Is there an existing n8n instance/environment already prepared, or should deployment structure also be part of delivery? - How is “full payment confirmed” represented today in Xero and/or ServiceM8? - Are scheduling and customer notification both triggered from the same final state, or do you want an approval buffer between them?

Business logic already mapped and a fixed-price production build, not discovery. That is the right framing, and it means the work is in state management and error handling rather than in figuring out what the workflows should do. How I would build it: - ServiceM8 and Xero connected through their REST APIs with webhook-driven triggers, so nothing depends on polling schedules drifting - Workflow state held explicitly per job, so a retried run resumes at the correct step instead of duplicating a job or an invoice - Retries with backoff on transient API failures, and a dead-letter path with alerting for anything that genuinely fails, because a silently dropped job in field service means a missed appointment - Payment status sync built idempotently, so a repeated webhook never double-marks an invoice - Documentation per workflow: trigger, state transitions, failure modes I run production automation for industrial clients on Airflow with API integrations, 24/7, and build the same shape of webhook and retry logic daily. One question: is your n8n self-hosted or cloud, and how many jobs per day flow through ServiceM8? Martin

I’ve built and maintained production-grade n8n workflows for field-service platforms handling 50K+ daily jobs, integrating ServiceM8 via REST with Xero payment sync, SNS customer notifications, and automated stock checks against supplier APIs, so this is right in my wheelhouse. I’ll model the state machine in n8n with ServiceM8 job states mapped to payment triggers from Xero’s webhooks, add idempotent retries using n8n’s execution meta data, and enforce the “no install until full payment” rule via a guarded transition before the scheduling node. I’ll log every external API call in a structured JSON field for auditability and expose a simple REST endpoint for manual overrides if needed. The workflow will be delivered as a single n8n JSON export plus a README with exact credential paths and failure-handling tests you can replay in your environment. I can start immediately after confirming the spec. Thanks, Andrii.

==== Hi - Truong here ==== "SERVICE M8 → N8N PRODUCTION AUTOMATION" — you need payment-gated job stages that never release equipment before full payment. I’d make the workflow state-driven, with webhook events checked against the current job/payment state before any action runs. For failures or duplicate events, I’d use retries plus idempotency so the same event cannot trigger installation twice. The three risks I’d verify first are ServiceM8/Xero payment-status timing, reliable equipment stock/order states, and webhook duplication or delayed events. Which Xero payment status should be treated as the final approval for release? Looking forward to work with you
