Online Order System
1.) To create an online ordering system that allows resellers of the P5 Audio product line to login, process orders, view reports, and manage their account.
2.) Allows the account managers who oversee the resellers accounts to track their resellers progress and see their own commissions calculations.
3.) Allows administrators to make changes, view reports, and manage the entire process.
4.) Allows the order fulfillment team to quickly see orders, determine whether they are instant download or shippable, and edit the status of an order.
Resellers – These are established e-commerce websites that will be carrying P5 Audio products in their shopping carts and selling them for a cut of the profits.
There are 3 types of Resellers:
- Basic (carries (5) P5 Audio products, lower commission, shippable, setup fee $[url removed, login to view] per year)
- Basic Plus (carries (10) P5 Audio products, lower commission, shippable, setup fee $[url removed, login to view] per year)
- Premium (carries unlimited P5 Audio products, higher commission, instant download or shippable, monthly fee of $[url removed, login to view] (this monthly fee can be discounted by signing a contract). Premium resellers can also discount, will receive exclusive products to sell, no annual set-up fee, and get priority support.
Important Reseller Info:
- Basic and Basic Plus Resellers can buy ad-on services from us to customize their reseller program. If they choose to do this then they must be identified so that the order entry system, and the account managers and administrartors can see. Example: if a Basic Reseller wants to offer his clients the instant download option he can pay an additional $[url removed, login to view] monthly to do this. At this point, the order entry system should recognize that he has that ability and offer this option when he is entering orders and we should be able to easily identify that he has this option on his reseller account. Below are a list of add-on’s we are planning to offer:
o Instant Download Ad-on - $[url removed, login to view]
o Priority Sales Support Ad-on - $[url removed, login to view]
o Exclusive Products Ad-on - $[url removed, login to view]
- Order system should be able to calculate how much the reseller has to pay after entering his orders based upon what he sold, any discounting, and his commission percentage.
- Order system should give reseller payment options of credit card, or paypal which will link to our order processing system(linkpoint) to collect the money. If the payment is successful then the order system should change the order status of the orders to “open”. If the payment is unsuccessful (their card is declined) then it should change the order status to “pending payment” and the reseller should be able to try another payment method. This should be updated to open once the order is processed successfully.
- Order entry system should generate order numbers for the orders that Resellers place. There should be a order search mechanism that allows Reseller to search orders by order number, customer name, email address, address, date, etc.
- Order entry system should have system of reports the Resellers can view and export.
- Order system should assign Reseller ID’s which are associated with the characteristics of their account.
- Resellers ID should auto-populate the reseller information including: reseller plan, their website info, email info, name, phone number, billing info on file, main contact person. The Reseller should be able to edit this info.
- Resellers should have to enter the following information for the customer when placing a customer’s order: instant download(if they have this option) or shippable, customer name, shipping address (if applicable), email address, phone number, the products, and any special comments.
- Resellers should be able to manage and edit their inventory of products against what we offer. Note: Premium resellers will have some exclusive products that they can only sell.
- There should be an account tab where Resellers can update their account information.
- There should be a setting tab where Resellers can make changes to small settings.
- There should be an instructions tab with directions on using the Order Entry System.
- There should be a support tab with FAQ’s and contact info for support.
The Account Managers – These are the people that will be managing a group of Resellers, making minor updates to their accounts, and providing them information to help the Resellers sell more.
- Acount Managers should have a login that gives them privileges based on what the Admin sets.
- Account Managers should only be able to see the Reseller accounts they are assigned to.
- Account Managers should have a search function, should be able to view and export reports.
- Account Managers should be able to see how much they are earning from the reseller set up fees, add on commissions, and $1 commission per sale that their resellers make.
- Account should be able to see orders queue for their resellers accounts.
- Should be able to see products that each of their Reseller Accounts are offering.
Order Fulfillment – The team of people that will fulfill the orders from the resellers.
- They should have a login that only allows them to view orders.
- They should be able to quickly see shippable orders from instant download orders, which they will have to send out email links for.
- Once an order is fulfilled the status must be changed to processed.
Administrators – This is US – P5 Audio Owners
- We should have complete control over every Reseller, Account Manager, and Order Fulfillment login info, and management of information and settings.
- We should have a products editing section where we can add, change, delete product offerings and pricing that resellers can choose from.
- We should be the only people allowed to delete reseller accounts.
- We should be able to see all of the reports that resellers, account managers, and order fulfillment members can. Additionally we should have global reports so we can track which resellers, and account managers are doing best, as well as which products are selling the best.
- We should have dynamic control of amounts payed out to resellers, and account managers, pricing on ad on options etc so that we can change these options as needed.
