1.2 New Functionality
New functionality is being provided in the MS Project 2013 client, in the form of a macro. This macro is designed to:
Read an input file containing
• Actual Costs to date
• Total Committals
For each project.
The macro will read through the file and apply the two values to the specific project task on the schedule. The key is the Project ID from Finance 1.
1.3 File Format
The file will be a comma separated file with the following fields:
Interface Identifier: “Finance 1 Project Actuals ”
Date of data: yyyy-mm-dd
Project ID: numeric
Actuals: numeric, 2 decimal places
Commitments: numeric, 2 decimal places
Total Actuals to date: numeric, 2 decimal places
Where there are no Actual or Commitment values, insert 0.

1. File Extract
Field Name Data Type Use/Source
Interface Identifier: “Finance 1 Project Actuals ” First check for the macro – will not proceed if this is incorrect.
Date of Data Date: yyyy-mm-dd Date of extract data (end of business day). For overnight processing, ensure that the date is the day the data was updated on the Finance 1 system (ie not necessarily current date). The data should be aggregated to the midnight on that day (23:59:59)
Project ID Numeric Finance 1 Project Identifier although there is no mathematical function involved, so can tolerate text if the F1 identifier will deliver non-numeric data.
Actuals Value Numeric, 2 Decimal Places The Actual Cost incurred between the 1st of the current month to the end of the “Date of Data” date.
Commitments Numeric, 2 Decimal Places The commitments value at the end of the “Date of Data” date.
Total Actuals to date Numeric, 2 Decimal Places The Actual Cost incurred from the start of the Financial Year to the end of the “Date of Data” date.
Internal Cost of Labour Numeric, 2 Decimal Places
