INTRODUCTION/EXECUTIVE SUMMARY

Who we are

Iceberg is a company based in France. Our business is to sell and rent (for one to 48 months) various light equipment and their supplies under Iceberg brand.

We are mainly active in 5 product segments : water coolers, air conditioning, air purifiers, hygiene, and lighting.

We provide end-to-end services including installation, maintenance, support, replacement parts, and consumables.

We cater to 4 key markets :

- Corporate and professional market (companies and public sector)

- Private and Residential market (individuals)

- Retailers (shop and mail order)

- Export market (distributors)

Our markets are handled through either direct sales (call center or field sales) or through distributors or independent agents not on payroll.

Our promotion is conducted mainly through direct marketing (emailing, faxing, mailing), phoning, field couponing, trade shows, press relations and Google adwords.

Internally we are mainly organized in the following key functions :

- Management : business development and coordination

- Direct Sales : inhouse call center in relation with direct prospects

- Indirect sales : relationship with agents, resellers, export

- Marketing : promotion, partnerships, website update, press relations

- Purchasing : relationship with suppliers and service providers

- Finance : accounting, invoices, collection etc.

- Technical support : with field agents that deliver and service the equipments

The current website

The current website ([url removed, login to view]) is a basic html/php-mysql storefront that has been developed internally but that is reaching its limits as :

- Difficult updating

- no task automation

- No integrated promotion

- Basic shopping basket (mailto)

- no extranet

- No integration

The current IT

We use three main software for back office :

- Intranet : (egroupware)

- Sales management : development under filemakerpro (poweroffice)

- ERP : EBP (accounting/invoicing)

Our main needs

We would like to develop a new web storefront that enables us to automate key workflows and improve relationships with our key markets and stake holders.

What we need is to find a deal with a web development company that can help us adapt our content and graphics to develop under 2 months a fully-automated web storefront, using as much as possible standard modules.

PROJECT ORGANISATION

Partnership

We are seeking to build a long term relationship with a development company that is going to help us built, configure, train us, and maintain the solution.

Timeline

As they are readily available, we can provide workflows, key screens, graphics, content, templates and detailed specifications under 10 days.

We would like to have the ecommerce storefront Golive before end of January 2006

Design

PSD graphics (no flash) can be supplied on our side for templates and static pages

HTML

We can supply PSD pages and templates but we will need web design help for adapting the pages and optimizing them for web golive

Branding

Because we plan in the future to differentiate offers for different markets, we need to be able to duplicate the website under various brands and urls, so the storefront structure and identity (look and feel)) has to be highly configurable.

Content update

We need to be able easily to update content, graphic, catalog, etc.

Hosting

Hosting should be offered as an option

SEO

The storefront should be made highly visible on search engines. The pages should be SEO friendly. And we are interested in a SEO offer.

Integration

We operate a CRM/sales system called poweroffice based on Filemaker to which we would appreciate that the storefront be integrated. If really not possible, we would appreciate an offer that integrates the ecommerce storefront with a similar CRM system and enables easy export/exchange with accounting/ERP.

Budget

Budget for a fully operational online ecommerce solution is quite low as we are a small company so we would appreciate a solution that can be deployed based on standards, easy to maintain, and/or that can be integrated with existing back office.

Response

We need to receive offers on this project latest by November 10. Quotes should include demo of similar developments made, detailed description of functionalities, list of main data/clarifications to be supplied by us, and a detailed schedule.
