I’m looking for a high-level personal assistant who can help manage my day-to-day operations across multiple businesses and build a scalable system for future assistants. If you’re extremely organized, proactive, tech-savvy, and great at managing moving parts — I want to work with you. --- What You’ll Be Doing 1. Build & Maintain a Knowledge Base Document all recurring tasks, workflows, and procedures. Organize systems so the role becomes plug-and-play for future hires. Help streamline communication between me and additional assistants. 2. Manage other Virtual Assistants Distribute tasks to other VAs and follow up until completion. Track progress, deadlines, and deliverables. Help build a workflow where tasks move smoothly from one assistant to another. 3. HOA (Homeowners Association) Operations Update and maintain our HOA website or coordinate with someone who can. Monitor incoming issues, forms, and work-order submissions. Coordinate with maintenance, contractors, and residents to resolve issues. Keep records and follow up until tasks are completed. 4. Airbnb / Short-Term Rentals Management Help manage guest communications (templates provided). Update listing information, pricing, calendars, and promotions. Coordinate cleaners, maintenance, turnovers, and supplies. Resolve guest issues and ensure smooth operations. 5. General Personal Assistant Tasks This role involves MANY ongoing projects including but not limited to: Scheduling appointments Research tasks Delegating work to contractors Following up on open projects Organizing emails, documents, and reminders Project management across real estate, rentals, and daily business operations
