Creative Project Coordinator — Trello, 1-2 hrs/day, ongoing We're a creative studio looking for a coordinator to own the flow from client request to delivery. Someone who is familiar with the creative design process and is excellent with customer service. You'd handle: Trello board management Client communication and customer service Following up on approvals Scheduling Organizing assets and files Client onboarding Tracking deadlines Flagging scope creep before it becomes a problem The chain you'd be running is: Client > Request > Creative Team > Revisions > Approval > Delivery. The most important thing: we need someone who can run that without us checking in constantly. If you need daily direction, this isn't the right fit. If you like owning a process end to end, it is. Strong written and spoken English is required. You'll be talking to our clients. 1-2 hours per day, ongoing, starting immediately. This is a long-term role.

What you need here is someone who can keep the studio’s request-to-delivery pipeline moving without constant reminders. The real risk in roles like this is missed approvals, vague revision loops, and small scope changes quietly turning into bigger delays, so I’d focus first on making the workflow predictable and easy to monitor. I’ve worked on admin and coordination tasks that involved client-facing communication, deadline tracking, asset organization, and keeping internal teams aligned. With Trello-based processes, the difference usually comes from how well the coordinator manages follow-ups and ownership, not just how well they click through cards. I can also help create a cleaner approval/follow-up rhythm so fewer tasks stall in review. - Do you already have a standard onboarding checklist for new clients, or would you want that organized too? - How many active projects or clients would this person typically be coordinating at one time?

Hi there, I've worked on the creative side and know exactly how much friction happens between "client requested" and "client delivered." That gap is where I step in. Your studio needs someone who can own the full chain, client request to creative team to revisions to approval to delivery fully. When a request comes in, it gets logged, assigned, and tracked. When a client sends feedback, it gets routed to the right person. When a deadline is approaching, it gets flagged before it becomes a problem. I bring: - Experience managing creative workflows from client intake through final delivery - Strong client communication skill, friendly, clear, and professional - Familiarity with Trello including the ability to set up or refine boards as needed - Confidence following up on approvals and keeping projects moving - The ability to onboard new clients and organize assets and files One of my strengths is catching the small things that weren't linked, feedback that wasn't acted on, a client who hasn't responded in a few days. I follow up so you don't have to. I understand the creative process and the need to keep the team working while shielding them from unnecessary client friction. 1-2 hours per day works well for me. I'm available to start immediately and would love to be the person who keeps your flow running smoothly. Best regards, Zelda

WITH ONLY 1–2 HOURS A DAY, THE PRIORITY HAS TO BE KNOWING EXACTLY WHERE ATTENTION IS NEEDED MOST. A lot can happen between a client request and final delivery, especially when communication, assets, revisions and approvals are happening at different times. The key is having a clear view of what is moving, what is waiting and what needs to be followed up on before it begins affecting a deadline. My experience with client communication and coordinating tasks has involved keeping track of multiple moving parts while ensuring information doesn't get lost between the people involved. I'm also familiar with handling client-facing communication carefully, because a delayed response or missed detail can affect more than just the internal workflow. Where do projects tend to get held up most often right now?

Hello, I can manage client communication from onboarding through delivery, making sure every request is acknowledged, expectations are clear, and no client is left wondering about the status of their project. I will handle customer service by responding promptly and professionally, confirming project details before work begins, communicating timelines and next steps, and following up when approvals or feedback are needed. I will also keep clients updated when a project moves between the creative team, revisions, approval, and final delivery so they always know where things stand. When revisions or unexpected requests come up, I will clarify what is included, identify potential scope creep, and communicate it to the appropriate person before it becomes an issue. My goal is to be the reliable point of contact who keeps communication smooth while protecting the creative team from unnecessary back-and-forth. With my project coordination and administrative experience at KwargLab, I’m comfortable managing schedules, follow-ups, files, deadlines, and client-facing communication independently. I can take ownership of the process and keep it moving without requiring constant direction. Best regards, Adaobi

Let's Do This Right The First Time ✔️The key here is clear communication and proactive coordination to maintain workflow. Each step from client request to delivery needs thorough management for Trello boards. I understand the importance of handling client communication and customer service effectively. What usually matters most here is anticipating needs before they arise, like tracking deadlines and following up on approvals. With years of experience in Trello and creative project management, I've helped bring organized workflows and timely deliveries. You can expect a well-maintained Trello board, ensuring assets are organized and scope creep is flagged promptly. Based on what you mentioned, my core focus would be: • Client onboarding • Tracking deadlines • Organizing assets and files If you want I could take a look at your existing files and give you some direction? Best, Kurt.

Hello! I understand you’re looking for someone who can take ownership of the entire client-to-delivery flow without needing constant direction. I’m comfortable managing Trello boards, priorities, deadlines, client communication, approvals, revisions, schedules, and asset organization. I also have hands-on experience with creative work and digital projects, so I understand how easily a “small revision” can become three new requests if scope isn’t tracked early. My approach would be to keep every request clearly documented, make sure the creative team always knows what’s next, follow up with clients before approvals become bottlenecks, and flag scope or deadline risks early rather than after they become problems. I’m comfortable with the 1–2 hours per day ongoing schedule and can start immediately. I’d be happy to take ownership of the process and keep things moving consistently. Best regards.
