Personal Assistant (Remote, Immediate start, Long term monthly position)


Neovox, a Marketing based in Europe is looking to hire a Personal Assistant for the Founder of the agency. Launched in April of 2019 we’re a small team currently catering to marketing needs of brands and public figures around the world. From working with Startups, to Billion $ brands through to launching projects internally - we’re active in a number of different areas of marketing & technology.

About the work

This job requires the successful applicant to wear many hats. Summarised very briefly: you’ll be acting as an extension to our Founder. In the coming months your job will be to support the founder in whatever is needed to conceptualise, internalise and optimize internal company operations.

This includes but is not limited to the following tasks:

Implementing operational processes based on provided instructions

Keeping our accounting up to date in a simple spreadsheet while uploading invoices and receipts to our invoicing software.

Setting up workflows using tools like Airtable, Pipedrive, Zapier and troubleshooting where necessary

Implementing automation into fundamental agency operations

Optimizing our file management software and keeping this organized on a day to day basis

Setting up and organizing spreadsheet templates

Sourcing new software/vendors depending on our needs

Basic website and domain management

Sourcing and booking transportation and accommodation for business trips

Performing complex research tasks based on rough guidelines that will be provided

You will NOT be required to complete specialist tasks like:

Managing social media

Graphic design

Video editing

Complex financial models / complex accounting tasks

Web Development / Complex technical tasks

That isn’t to say that both the team and the founder won’t be available. We are aiming to nurture a supportive and collaborative culture however due to current work volume not everything can be discussed / planned out in depth. You will be given guidance and extensive feedback on tasks however you’re expected to work independently with information that has been provided to you.

We are based in Europe and will require you to be available between 8am and 6pm CEST / CET. The salary for this position is dependant on applicant fit but will range from $300 - $800 per month. You’ll be required to be on calls hence a solid internet connection is a necessity for this position.

We are looking for a loyal, reliable, flexible, pragmatic, proactive and organised individual. You’re a loyal individual who, assuming good performance, is happy to commit to this agency for 1+ year - we are not looking to make this a short term gig. We’re looking to hire someone that is able and willing to grow with us for many years to come.

You will be working side by side with the founder and the team ensuring that whatever challenges may arise, are solved and measures implemented to stop said challenges from coming up again. While you’ll be given direction and Given this fact the true scope of work is unknown. This is a challenging position with potentially long work hours which will require you to dive into different areas of the business (HR, Accounting, Operations, Account Management) while working independently.

We are a supportive team and will help each other where possible but do expect a high level of autonomy, reliability and intuition.
