Core responsibilities You’ll spend a good portion of your time on accurate, fast data entry—moving information from Excel into Google Sheets, recording transactions straight from bank statements, and updating our FileMaker address book. At the same time, I need dependable inbox triage and polished email drafts that sound like me, along with consistent calendar maintenance so appointments never slip through the cracks. Specific, recurring tasks • Transfer data sets from multiple Excel files into structured Google Sheets, preserving formulas and formatting where needed • Enter new banking transactions weekly and reconcile against statements • Draft, proof, and send routine emails after my quick approval • Coordinate appointments for both personal and business calendars, adding reminders as required to me or vendors: we are a team! • Issue one consolidated invoice to a client each month and track payments • Monitor upcoming bills, flag anything due, and send internal reminders to employees • Publish three short posts per week to our Instagram and Facebook pages (images and captions supplied) • Transcribe lecture audio into clean, well-formatted text when recordings are provided • Prepare and send proposal PDFs to prospective clients following our template Preferred tools & workflows Google Workspace (Mail, Calendar, Sheets), Microsoft Excel, FileMaker, Facebook/Instagram native schedulers or Buffer, plus any reliable transcription tool of your choice—Otter, Descript, or similar.
