We are a practice of Architects, landscape Architects, Engineers, Interior Designers, etc and need to create a new updated fee template. The purpose of this is to try to pre-empt as much as we can from the outset, locking down the essential information, but clearly every opportunity will be different and there will need to be some flexibility/adaptability. I have develo0ped the principles of this as far as I can, so I am now in the position to ask you to develop it further for me. The next step is to share this with an excel expert to make it ‘clever’. The intention is that it becomes automated as much as possible which, I’m told, is all possible using macros. So for example: • If you are doing a single discipline bid, you tell the spreadsheet and it hides everything you don’t need and all the other tabs that become irrelevant. o We also set the template to automate the discipline colours and brands • The same applies for work stages – we define what’s needed and the fee template adjusts automatically • Same for the fee – we tell it the start and end dates and duration of each work stage, apply a fee split and it works everything out for us and puts all the milestone payments into a schedule – this same schedule, by its very nature defines a basic timeline/programme. A detailed programme can also be completed. o I know this can be done but I don’t know how to – I’d like the programme to be a bit more automated by being able to add dates to each task and the cells automatically populate – we can also track progress of each task using a % estimate • All hourly rates linked back to a protected source document kept up to date separately (only by a few people) • All T&C’s also linked back to a protected source document kept up to date separately (only by a few people) • Drag and drop images/client logos into the document and they are auto sized • Names and contact details are automated • Automated section numbering all change when tabs are not needed • Repeating rows on pages such as ‘Project team’ • Formatting all fixed, locked and automated to protect the brand • All yellow text need user input – everything else locked down – hopefully its just a case of tweaking or deleting • User can chose how to calculate fee either by percentage or using staff rates and no. of day – they can do both to compare and chose which to use to populate the final table It would be helpful to have an initial chat first, so please let me know when you are free and I’ll set up a Teams call.
